Permissions are assigned to individual users through the use of roles. Create new roles or modify existing roles to create a set of permission that will be applied to one or more users. Roles can then be assigned to users on a region by region basis.
Adding or Modifying Roles:
Navigate to Admin>Administration>Role to view the existing roles in your QuoteWin instance:
Click the Add new role link to create a new set of permissions from scratch, or click one of the existing Role names to view or change the current permissions.
Each role is arranged by sections and sub-sections allowing you to efficiently review or assign the correct permissions. In the example image above, the Quote Manager role has been given access to view the Administration module, and Currency settings, but has no access to modify Roles or Users.
Tips and Suggestions:
- Use descriptive names for each role that align to job descriptions or activities
- Remove access to modules or features that a role is not trained for, or should have access to
- At least one key user should remain a SYSADM with full permission to everything
- Lower level users should NOT be configured as SYSADMs
Assigning Roles to Users:
Navigate to Admin>Administration>User to see all the QuoteWin users accounts. Click a User Name to view roles assigned:
The Default Role controls what role a user will inherit if you add new regions. It does NOT control which permissions the user actually has when they are working on projects.
In the Region(s) box you can assign which regions a user actually has access to, as well as the role that they will have for each region. Click Modify to add or make changes to the settings.
Use Case Scenario: How to find out what a specific user can do
If you want to find out if a user can perform a certain task, you will first need to know which role they have assigned, and then you can review the settings for that role. Follow these steps:
- Navigate to Admin>Administration>User and locate the user in question
- Click the specific user name to find out what their assigned role for the region is (not the default role).
- Take note of the assigned role name
- Navigate to Admin>Administration>Role and select the role name you noted earlier
- Open the sections you want to review to identify any information or changes that should be made
Important:
If you make changes to a Role permission setting it will apply to all users assigned to that role. Users may also need to log out and log back in to QuoteWin to have any changed settings take effect.
